EXHIBITOR/SPONSOR TERMS & CONDITIONS

All sponsoring companies should familiarize themselves with our terms and conditions. Please refer to the link below to review these.

ATTENDEE LIST

The attendee list will be distributed to your company’s main contact person two weeks prior to the event. If you are offered the list by anyone other than a representative of Royal Media, do not accept – they are not authorized nor do they have the actual list.

If your sponsorship includes a table display, reference the information below. Please review your signed order to confirm that a display is included.

WHAT IS INCLUDED IN YOUR TABLE DISPLAY

Space Size: 8′ x 10′
1 (one) 6′ Skirted Table
2  Chairs

Display backdrop can be between 8ft – 10ft wide. All banners and backdrops MUST fit within a 10ft width.

 

ELECTRICAL, INTERNET, and AV  SERVICE

Audio Visual, Electrical/Power, and hard-wired/dedicated Internet services do not come with your display space, and are available to purchase.

Power:
Power for your display must be ordered from Encore. Encore’s EventNow portal will allow you to order electrical service, pick power accessories or additional supplies as desired, and also provide a way to make payment via credit card.

Using this link: Encore EventNow | Audio Visual Solutions | Order Online, select the “choose your electrical supplies” option. You will need to purchase one 25ft extension cord at a minimum, and a power strip if needed. The Encore team will make sure the extension cord is properly routed to your display space, taped down safely, and the power load is appropriately managed.

HOTEL ACCOMODATIONS

The Westin Denver Downtown is the exclusive lodging partner for FinAI Banking Summit 2026. The room block cut-off is MONDAY, FEBRUARY 9TH. Reserve your event-exclusive rate today!

Please note that each room in the block must be booked directly with the hotel. Please refrain from booking through any 3rd party claiming to be a hotel representative or event booking if one should contact you. They are not associated with the event.

 

IMPORTANT SHIPPING INFORMATION:

Packages for meetings may be delivered to the Hotel no earlier than February 25, 2026.

A package processing charge will be applied for all incoming items. The following scale will apply:
Envelopes – $5.00 each          Case/Crates – $50.00 each            Pallets – $100.00 each
Boxes 1-25 lbs – $10.00 each   Boxes 26-50 lbs – $20 each   Boxes 51+ lbs – $35 each

These charges cover the cost of labor, processing, receiving, tracking, storing, and moving. Any box shipments expected to exceed
75 items must be handled through a drayage company.

OUTGOING SHIPMENTS:

All outgoing boxes must be packed, sealed, and labeled by you before you leave them. FedEx picks up M-F. Any other carriers will need to be
notified by shipper to schedule a pick up. If your packages are properly boxed, sealed, and addressed, the hotel will take them to their shipping area for you.

Monday, March 2nd

  • 8:00 – 11:00 AM – Display Setup
  • 2:45 – 3:15 PM – Afternoon coffee break
  • 5:00 PM – Cocktail Reception

Tuesday, March 3rd

  • 8:00 AM – Breakfast
  • 10:25 – 11:00 AM – Morning Coffee Break
  • 2:45 – 3:15 PM – Afternoon Coffee Break
  • 5:00 PM – Summit Concludes
  • 5:00 PM – Teardown*
    • * Please do not start to tear down or dismantle your display until 5:00 PM.
